General Description
Under the direction of the Library Director, performs very responsible financial, administrative and supervisory work in directing the Business Office of the Clifton Public Library, in a diverse community of 80,000 in Passaic County, New Jersey. Work involves maintaining all library accounting records, preparing financial statements and directing a variety of personnel, purchasing, budgeting and general administrative services for the efficient operation of the Library.
Key responsibilities
•Develop and update budget, financial reports and reconciliations.
•Process and track invoices for payment.
•Prepare part time and extra staff payroll bi-weekly.
•Supervise cash management; processing daily receipts, petty cash and monitoring Library deposit accounts and CDs.
•Maintain personnel records and employee attendance; vacation, sick, comp and personal time
•Work with NJ Civil Service Commission to ensure proper hiring procedures are carried out.
•Supervise Business office staff.
•Prepare annual State Aid reports and materials for annual audit.
•Prepare monthly information packets for Board meetings.
•Assist Director with facilities operations.
Knowledge, Skills, Abilities
•Proficient in Microsoft Office, especially Excel; QuickBooks and/or other financial software
•Excellent interpersonal and communication skills
•Ability to interact effectively with staff, vendors, City personnel and the public
•Demonstrate initiative and analytical aptitude
•Ability to work independently and as a team player

·Graduation from an accredited college or university with a Bachelor’s degree
·Two years of related experience
·Note: A Master’s degree in Human Services Administration, Business Administration, or related degree may be substituted for one year of above experience
